What it is
One place, on the phone they already have.
CrewBase is a workforce system for earthmoving, civil, main roads and mining contractors. Right now the job lives in six places: the dash of a ute, a group chat, a spreadsheet someone rebuilds every Friday, a folder of pre-starts nobody has read, and two people's memories. CrewBase puts it in one loop. Nothing to install and no training day: it opens in the phone they already have, works with no signal, and catches up when the signal comes back. Designed by someone who spent over fifteen years in mining, main roads, building and construction.
What it does, team by team

For payroll
The week builds itself out of the clock-ons. You approve it, it freezes, and that is the number that leaves: approved hours totalled by worker and by job, sent one way into Xero as draft timesheets. Available today: Xero. In development, not yet available: MYOB.

For HR
Workers upload their own licences and tickets from the phone, and expiry shows on their record. New starters onboard on the phone, and the seventeen personal details, from tax file number to next of kin, are encrypted before they are stored. Notices go to the crew in the app, not by email.

For site and plant
Daily and plant pre-starts signed on the machine before it moves, and an unsigned one is visible from the office right now. A plant pre-start report prints as a PDF for the auditor: all clear, rectified, or defects. Every machine has a register, a service interval, hours and a history, so a service is due before it is overdue. Assign crew and plant to jobs from the office, and the live view shows who clocked on and which machines went out.

Four taps and back to work. No app store, no login every morning. Location is only taken while clocked on. Not to watch anyone. So the office can answer the question.
Being developed
What we are building now, and how we choose.
One earthmoving contractor has run CrewBase every week since July 2026, and what gets built is what their crew and their office actually need, not what we think would be good. Everything above is in the current release. Everything below is being built now. None of it has a date, because a date we cannot keep is worse than none.

Beyond the plant pre-start PDF: the records you already hold, out of the system as a file when someone asks for them. Being built now. Not yet available.

Expiry reminders
Licence and ticket expiry already shows on the worker's record in the office. What is being built is the nudge: a notice to the worker and the office before it runs out, so nobody has to go looking. Not yet available.

Questions
The questions everyone asks.
About an hour. You add your workers, add your machines, and name your first job. Have a list of names with mobile numbers, and your plant with rego or fleet numbers, and you'll be running the same day. Your crew get a text with a link. There's nothing to install.
It's four taps and it opens on the phone they already carry. No app store, no password every morning. The ones who hate paperwork tend to like it fastest, because it's the paperwork it gets rid of.
It keeps working. Clock-ons and signed sheets are held on the phone and go up the moment there's coverage, with the original time, not the time it synced.
It doesn't run your payroll, and it never holds a pay rate. What it does is take the week you've already approved and send it straight to Xero as a draft timesheet, so nobody retypes it. Your bookkeeper approves it in Xero the same way they would a timesheet someone typed in. Ordinary and overtime hours both go across, and fortnightly pay runs work too. Leave, allowances and super stay in Xero where they belong.
